We act as the “data controller” for the personal information described in this policy. Our appointed Data Protection Officer is David Chen who can be contacted at dpo@kapsuletech.com.
2. Information we collect
Information you provide to us
- Contact form. Name, email address, organisation, message and persona (buyer or partner).
- Meeting bookings. Details you submit when scheduling a call (via TidyCal).
- Email interactions. When you click links or open our confirmation emails we record that event for analytics.
Information we collect automatically
- Usage data. IP address, browser type, pages visited, time spent and referring URLs collected through Google Analytics 4 and Google Tag Manager.
- Cookie & similar identifiers. GA cookies (`_ga`, `_ga*`, `_gid`), LinkedIn Insight Tag cookies (`li_gc`, `_li_fat_id`, etc.) and Meta Pixel cookie (`_fbp`) if you accept cookies.
- Log data. Server logs that may include your IP address and the date/time of access.

- Service providers – AWS (Simple Email Service & S3), Supabase (database), Google (Analytics & Tag Manager), LinkedIn, Meta and TidyCal.
- Professional advisers – lawyers, accountants and insurers.
- Authorities – when required by law or to protect rights, property or safety.
6. International transfers
Your data may be transferred to and stored on servers located outside the UK/EU, including in the United States. Where we transfer personal data internationally we rely on Standard Contractual Clauses or other legally recognised safeguards.
7. Data retention
We retain lead and analytics records for up to 36 months from your last interaction, or sooner if you ask us to delete them. Email tracking logs are retained for up to 24 months. We may keep data longer where required to establish or defend legal claims.

You have the right to access, rectify, erase, restrict or object to our processing, and to data portability. To exercise any of these rights, please email dpo@kapsuletech.com. You also have the right to lodge a complaint with the UK ICO or your local supervisory authority.
